Emily Carr Public School CARRnival Committee March 7, 2018 Minutes
Attendees: Cheryl, Rachel, Jen, Darshna, Shahnaz, Kelly
Theme-Happy birthday Emily Carr-Let’s throw a party!
Food-we have 2 options for Food trucks confirmed, we have also decided to have pizza and possibility 1 more option. The goal is to not have lineups, so the more the merrier.
Bouncy Castles/Equipment-Jo is working on getting quotes for various equipment. The goal is to stretch the budget and see about renting several “carnival type” games. It was mentioned that the inflatable that had the 3 different sports would be a good addition to include.
Goals/ideas for this year’s event:
Have wristbands bought through cashless schools. Every wristband comes with raffle basket ticket, YMCA pass, Smoothie card etc to make families feel they get something in return. Wristbands would be more expensive at the door.
Cupcake station again and Enjoy Life cookies-see about getting them donated-appeals to kids that have allergies
Vendor tables can also be in the gym
Have an art banner that kids could draw their hands and place it on the banner
Action Items: Cheryl-look into Walmart grant, connect with community groups Jen- Talk with Cindy to review letters and event details, Jen to look into food truck license Rachel/Kelly-talk to Ice Cream Lab, finalize food trucks, contact Domino’s pizza Shahnaz-look into logistics of having a cake walk, make contact with family for popcorn machine/donation Darshna-develop a vendor letter with various details to submit to Cindy for approval Jo-Contact Main Event for quotes/ideas for next meeting Ellen-look into baskets license All-research other schools and see what kinds of events, activities that we could maybe incorporate
Updates from Jen’s meeting with Cindy: No water or dunk tank for teachers Would caution us about asking for parents to contribute too much in donations, money, wristbands etc. Maybe we could use donations from community as baskets this year instead of asking parents to contribute. We are unable to use any classrooms, so we will need to find another spot for yoga, maybe out on the grass at the back. Has approved our theme. Having vendor tables and charging $75 fee is approved and can also be linked on council website Letters will be approved next week, after that we can start sending them out Reminder that all letters must go though Cindy or Dean for approval. Please forward any letters to Jen or Cheryl. All letters must have school council letterhead.

Explanation of financial surplus plan procedures was discussed
An explanation of the different budgets was presented to council
When there is a surplus of our budget (includes, school board, school generated funds and school council funds) the principal needs to detail a plan of how the money is to be spent.
Process is slightly tricky to navigate as we have our annual CARRnival in June, and board spending is stopped at this time.
Where school council funds are concerned, council can discuss and recommend surplus spending at our May meeting.
We must go through “Tendered Vendors” for everything so we have to ensure we follow this process for all purchases.
Other items discussed, new portable has arrived, all fund raiser plans need to be submitted by October 25th, cross country competition went well, dates for school events were discussed, update on circular cabinets ordered for playground and new sun shades. We will have Halloween parade Oct 31st, Walk to school day October 4th.

Mabels labels was considered a good idea to implement immediately and put in newsletters and web sites. This is a handy product and can be an “ongoing” fundraiser. Motion by Cheryl to have a Mabel’s labels fundraiser. Seconded by Sanjay.
